POSITION: B1 Business Support Officer
JOB TYPE: Strategy and Effectiveness
SALARY: USD 1,823 per month
DURATION: Permanent (Subject to Probation period)
Purpose of Job
The Business Support Officer is an exciting new position responsible for the number of corporate functions that fall outside of corporate services provided by the Foreign and Commonwealth Office (FCO) team. S/he will support the Deputy Head of Office in ensuring compliance on our Business Continuity Plan, Duty of Care and in liaison with the International Human Resources Hub in Pretoria, ensuring high quality Human Resource support and Learning and Development across the office.
Key accountabilities and responsibilities
LIAISON WITH FOREIGN AND COMMONWEALTH OFFICE AND CORPORATE SERVICES TEAM
- Monitor services provided by the FCO Corporate Services Team, ensuring full implementation of FCO services charter
- Participate in joint Housing Committee to ensure DFID requirements are met.
- Represent DFID’s interests at the Corporate Services meetings.
- Coordinating and managing flow of internal DFID visitors and consultants to the office
BUSINESS CONTINUITY PLAN AND DUTY OF CARE
- Update and test the DFID DRC Business Continuity Plan (BCP) and Telephone Tree.
- Work with the FCO Information Technology Manager to ensure their section of the Business Continuity Plan is up to date.
- Be the DFID focal point for IT related issues, raising Service anywhere requests and working with local IT support.
- Provide support to Deputy Head of Office on Duty of Care issues and related activities.
HUMAN RESOURCES FUNCTIONS
- Lead and deliver high quality and accurate Human Resources functions in close liaison with the International Human Resources Hub in Pretoria.
- Lead on the change management and communications of new Human Resource processes and on existing Performance and Talent Management processes.
- Be the focal point for submitting Passport change request forms and following up through SAW
- Implement People Action Plan priorities relating to HR
- Work with the Deputy Head of Office to update workforce planning spreadsheets as required.
- Led on HR returns for the office in particular organise UK based (HCS) and local SAIC vacancy development, sifting and interviews for recruitment process, liaising with relevant Team Leaders and Pretoria Hub.
- Oversee all HCS and SAIC familiarisation and induction processes, liaising with FCO corporate services, CLO and DFID Team Leaders
- Refresh DFID DRC approach to on-boarding and induction, developing an indicative induction plan and programme
- Act as focal point for advice and support on implementing performance management system (Being my Best), managing steps in the process and supporting SLT in assurance process
- Oversee accurate local staff medical claims
- Working with the FCO, manage consultation on local staff pay as part of Joint Pay Review Committee.
- Maintain confidentiality on all personnel related matters.
LEARNING AND DEVELOPMENT
- Review and update the Learning and development strategy with support from the L&D Committee
- As part of the L&D Committee, manage the Learning and Development budget
- Analyse training and ensure value for money and the sharing of high quality training opportunities

Qualifications & Experience
Applicants must possess a relevant post graduate degree and have at least but not limited to:
- Degree or equivalent qualification with a minimum of 5 years working experience of which 5 years must be at management level.
- Excellent interpersonal and communication skills with a strong customer focus
- Fluency in English and French
- A great all-rounder, able to juggle numerous and varied tasks
- Ability to work with contacts and colleagues at all levels
- Strong organisational, analytical and time management skills, with attention to detail
- Willingness to learn and respond quickly to a variety of corporate needs in the office
- Strong line management skills
- Computer literate
